Respond to Construction TQs

After the Construction TQ workflow starts, the workflow step of the TQ will be displayed on the To-Do List of the users who have the role which is responsible for the next workflow step.
To manage who performs specific tasks (roles) at site and with regards to responding to and approving TQs, the following four roles have been created:
The default recipient roles in the Construction TQ workflow correspond to the roles defined above.
For example, the first workflow step is for Field Engineer (FE). If a user has FE role, the Construction TQ will be in the user’s To-Do list waiting for action.
All users who have that role will receive an email notification.
To take action, click the Action icon of a Construction TQ on the To-Do List to open the Actions panel, then click Update TQ.
Another option is to search for a particular Construction TQ, click the Actions icon to open the Action Panel, then click Update TQ.
Result: The Update TQ form appears.
For each workflow step, make sure you CLAIM it first – the person who makes the first claim is the person who takes action; others cannot claim/update even if they have the required roles (Update TQ method is not visible anymore).
A popup message will be displayed at the right low corner to show the workflow step has been claimed:
Now you can update the form.
 
 
Workflow Step 1
The field engineer can then enter/change contents to the related or concerned fields, and need to fill all mandatory fields marked with red asterisk (*):
Objects can be added to the Construction TQ refer to Associating Objects to TQs including Files, Tags, and Documents.
 
 
Workflow Step 2
The field engineering manager can claim and update the construction TQ, and then enter/change contents to the related or concerned fields, and add files. In the end, the field engineering manager can approve, reject or cancel the Construction TQ.
If the field engineering manager clicks CANCEL TQ, the Construction TQ is cancelled with its status changed to Cancelled, followed by an email notification sent to the submitter.
If the field engineering manager clicks REJECT, the Construction TQ returns to the field engineer.
If the field engineering manager clicks APPROVE, the Construction TQ workflow goes to the resident engineer to take actions (for certain Construction TQ types it will skip the resident engineer and go directly to the creator rating).
 
Workflow Step 3
Resident engineer can claim/update the Construction TQ and click COMPLETE.
After the resident engineer clicks COMPLETE, the Construction TQ moves to the next workflow step, to the resident engineering manager for approval.
 
Workflow Step 4
Similar to the field engineering manager, the resident engineering manager can claim and update the construction TQ, then enter or modify the contents to the related fields, and add files. In the end, the resident engineering manager can approve, reject or cancel the Construction TQ.
If the resident engineering manager rejects the Construction TQ, it will go back to the resident engineer.
If the resident engineering manager approves the Construction TQ, it will go to the field engineering manager for acceptance. Then the status of the Construction TQ changes from Obtaining Approvals to Waiting FEM Acceptance FCR.
 
Workflow Step 5
If the field engineering manager rejects it, the Construction TQ returns to the resident engineering manager.
The status of the Construction TQ changes back from Waiting FEM Acceptance FCR to Obtaining Approvals.
If the field engineering manager accepts it, the Construction TQ goes back to the submitter for creator rating, and the status of the Construction TQ changes to Responded.
 
Workflow Step 6
If satisfied with the responses, the submitter clicks Yes in the Disposition Accepted field, then clicks COMPLETE.
If not satisfied with the responses, the submitter clicks No in the Disposition Accepted field, enters the reason and Follow Up TQ No., and then clicks COMPLETE.
 
 
Workflow Step 7
A new workflow step comes to the submitter for completion. Click Update TQ again.
Result: The following window appears.
If all work is completed, click COMPLETE. If work is only partially done, enter explanation in the field Remarks for Completion or Partial Completion (e.g., “Two of the 3 reported issues are resolved, but one issue, xxx, is still under discussion”), and click PARTIALLY COMPLETE.
 
 
Workflow Step 8
When you click COMPLETE, the Construction TQ is sent to the field engineer for closeout.
The field engineer enters any remarks, lessons learned, and clicks COMPLETE.
Result: The following message pops up:
Click YES.
The Construction TQ is now closed with the status Closed-Out.
If you click PARTIALLY COMPLETE, the workflow step will remain in the submitter’s To-Do List, and the status of the TQ will be Field Work Partially Completed
The submitter is responsible to work and communicate with field engineers to make sure the outstanding work is completed, and then use the Update TQ again to enter any explanation in the field Remark for Completion or Partial Completion.
This time, the submitter clicks COMPLETE and the Construction TQ goes to the field engineer for closeout.
The Recipients tab of a Construction TQ is automatically update based on who takes action and when.
