Transmittal Issuance

Transmittals are issued on approval by document control.  This is a step in the workflow.  A few significant events occur as the transmittal is issued:
  • Document revisions on the transmittal are locked or changed to a state of current (refer to The Life Cycle of a Document)
  • Access to document revisions is provided to any third parties to which the information is being transmitted (refer to Organizational Control)
  • Document to Contract relationships are formed if relevant
 
Access to Document Revisions
An important significance is that if a transmittal is canceled after being issued, the revision access is NOT reverted.  This needs to be performed manually. The document control function: Modify Document Access can be used to facilitate required changes.
 
Document to Contract relationships
On issuance of a transmittal, if a contract (or sub package to the contract) is specified, the documents will automatically be related to the corresponding technical or commercial sub package of the contract. 
·     The relationships are created at issuance as document control approves the transmittal
·     The relationships are created to the document master objects
·     The relationships are created only if an existing relationship (between the master and any component of the package) is not found
·     The relationships are NOT formed for package types other than contracts; relationships are not formed for procurement or procurement sub packages.
