Finding / Modifying Information in Bulk

Finding Information in Bulk
Finding information in bulk, based on a list, can be performed using the Bulk Search capability.  The bulk search function is found as a separate command to the commands for the for the class of object of interest.  For instance, you will find it beside the document search commands under the Documents tile from the SPF home page.

Within the search, you can search for a list by separating the item names with a "|".  Pasting a list from your clip board will automatically include the "|" character for you.  This is intended to allow you to copy / paste a list from a spreadsheet in Excel.

The Document Grid Search is specifically used for documents.  This will return specific revisions of a document or if no revision is specified, return all revisions of the document.

HINT: The resulting set of objects can be added to your pin board for various uses including, forming relationships.
HINT: The URL can be copied / bookmarked to provide you with quick access to commonly accessed information.

Modifying Information in Bulk
Creating, updating, and deleting information in bulk is available through a tool called SmartData Validator (SDV). To perform these functions SDV must be configured for the bulk modification needed. The following table lists the capabilities that have been configured within SDV.

Each SDV configuration references a template which helps users understand what information should be or can be specified for the given operation.  Following the illustration below, users should employ the referenced template when gathering the information demarked in step 1.  The document and model templates have an embedded macro that can be used to generate the file needed in step 2.  Once the file is generated the file(s) can be processed in SDV using the following instructions:
Figure 1: Basic steps to modify information in bulk through Smart Data Validator

Modifying information in bulk supports the established processes for managing models from strategic supplier agreements and managing vendor tag data.  These processes have been described in 40001-EM-SPE-60489 Tag & Model Management Data Flows.
Smart Data Validator (SDV) is a feature available only through the SPF Desktop Client.  Authorization is required to gain access.
