Document revisions are attributed with a response to capture reviews, endorsements, and approvals. As a user performs a review, consolidation, endorsement, or approval (refer: Document Review and Consolidation, Document Endorsement and Approval) the user specifies responses as part of that process.
In case of a review, the response is not mandatory. There are three possible scenarios:
The user has left the response blank and has not made any markups. In this case, the system permits the user to Skip Review and a document response of Not Reviewed is captured for that revision and user.
The user has left the response blank but made a markup on the file. In this case, the system will auto-complete the response with an entry of Refer to Markup. Note that Refer to Markup is not available to the user when completing the response manually.
The user has specified a response. In this case the response will be respected irrespective of any markups to the document revision.
In the case of consolidation, endorsement, and formal approval a response is required for each document revision included in the transmittal. The Transmittal Action Manager leverages the Enhanced User Interface for Efficiency to allow transmittal recipients the ability to respond to each document.
Note: The Enhanced User Interface for Efficiency includes filtering to help control how Document Responses are applied selectively within a group of documents.
Responding to a single document
Click the dropdown arrow in the Response column
Select a response from the dropdown list corresponding to the workflow step
Enter a comment in the Comment field.
Responding to a group of documents
To respond to a group of documents, select the documents you want to action and follow these steps:
Select a response from the dropdown list at the top of the panel
Enter a comment in the Comment filed at the top of the panel
Click APPLY to populate all individual Response and Comment fields
Click SAVE ALL to save the modifications.
Result: The workflow steps on the To Do List panel on the left side of the Transmittal Action Manager refresh and the workflow proceeds to the next step.
